Org. Setting and Reporting

This position is located in the UN-SPIDER Beijing Office, United Nations Office for Outer Space Affairs (UNOOSA), Beijing, China. The incumbent will work under the direct supervision of Head, UN-SPIDER Beijing Office, in close coordination with the Chief of the Space Applications Section (or his/her delegate), and under the overall guidance of the Director, Office for Outer Space Affairs.

Responsibilities

Within assigned authority, the Team Assistant will be responsible for the following duties: 

•Perform a wide range of office support and administrative functions for the UN-SPIDER Beijing Office.
•Backstop, as necessary and when requested, the functions of the Programme Staff and Team Assistants of the Space Applications Section.
•Provide secretarial, administrative and logistics support to meetings, workshops, conferences, special events and other activities.
•Perform the administrative functions required for the recruitment of staff, consultants, contractors, non-reimbursable loans and interns of the UN-SPIDER Beijing Office.
•Assist in preparation of budget revisions, monitoring the status of expenditures, submitting unreleased budgets, support the preparation of donor reports and update and prepare budget and programme planning-related tables, submission and outputs. 
•Generate regular and extra-budgetary financial reports, including statistical/financial data for tables, charts and spreadsheets using office software templates.
•Process applications for workshops and meetings, supplement mission information and make administrative arrangements for official travel for participants and consultants/experts. Monitor the status of all travel authorizations and prepare travel expense reports following the conclusion of the activity.
•Prepare notes and minutes of team meetings as requested/assigned.
•Respond or draft responses to routine correspondence and other communications.
•Provide digital processing support, including MS-Word documents and MS-Excel tables, scanning, digitalization of documents, and posting to various designated repositories.
•Monitor processes and schedules related the Programme's outputs, products, tasks, etc.; where applicable, assist in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
•Generate a variety of standard statistical and other reports, work orders, etc., using various databases.
•Assist in the preparation of presentations and outreach materials using appropriate technology/software.
•Maintain calendar/schedules; monitor changes and communicate relevant information to appropriate staff inside and outside the immediate work unit.
•Review, record, distribute and/or process mail and other documents; follow-up on impending actions.
•Update and maintain distribution lists; monitor, prepare and distribute various materials, reports, where possible using electronic formats; handle arrangement for printing and translation as necessary; coordinate shipment arrangements, courier services, etc.
•Perform other general administrative tasks as needed (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, preparing and/or processing administrative requests/documents, requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.).
•Maintain files (both paper and electronic) and databases for assigned work units.
•Perform other work related duties as assigned.


Competencies

Is able to apply various United Nations administrative, financial and human resources rules and regulations in work situations. Has understanding of the functions and organization of the United Nations Office for Outer Space Affairs. Is able to work well and accurately with figures, undertakes basic research and gather information from standard sources. Has demonstrated ability to apply good judgment in the context of assignments given. Education

High school diploma or equivalent.


Work Experience

A minimum of three years of experience in general office support, programme/project budget and administration, or related area, is required. Experience in providing administrative support directly to senior managers is desirable. Experience in the usage of computers and office software packages (MS Word, Excel, PowerPoint, etc.) and advanced knowledge of spreadsheet and database packages, SAP/Umoja or other enterprise resources planning (ERP) System is required.


Languages

English and French are the working languages of the United Nations Secretariat. For this position advertised, fluency in English is required. Knowledge of Chinese language is an advantage.


Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.


Special Notice

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. Non-local candidates will be considered only when no suitable candidate from the duty station is identified and will be subject to local recruitment. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.

Vacancies up to G-4 levels are open to both internal and external applicants, including staff members on temporary appointments. However, priority consideration will be given to existing staff members. New external candidates will only be considered when a serving staff member holding a fixed-term or temporary appointment at the time of application cannot be identified. New external candidates, if selected, will be granted a temporary appointment for 364 days.

Passing the Administrative Assessment Support Test (ASAT) in English at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or ICTY or the Global General Service Test (GGST) is a requirement for recruitment consideration in the General Service category in the United Nations Secretariat. The GGST is a proctored entry-level examination at the duty station. Any travel expenses incurred in order to take the examination are the responsibility of the candidate and will not be reimbursed by the Organization.

The main purpose of this position is to attract Chinese investments to Switzerland. We are looking for a high- achieving graduate with a Bachelor or Master’s Degree. You have at least 3 to 5 years of experience in a similar position or a working experience in trade, marketing or PR in China, coupled with solid leadership experience and a profound knowledge of both the Chinese and Swiss business and cultural environment. You are preferably a Swiss national with professional English, German and French language skills as well as an excellent spoken ability of Mandarin Chinese. You are a strategically thinking, dynamic manager, a successful networker, a strong communicator and a highly reliable, quality oriented person. You enjoy presenting in front of an audience and have a keen interest in Public Relations, media and social media activities. You will lead a small team of local employees located in three different Chinese cities and report to the Head of the Swiss Business Hub China in Beijing.


Your tasks will include:

* Responsibility for the planning, implementation and evaluation of the yearly Investment Promotion (IP) targets (KPIs) as approved by S-GE and the Head of the SBH China; reporting to S-GE and partners


* Definition of the IP strategy in China, in cooperation with the Head of the SBH China and with S-GE in Switzerland


* HR-Management and coaching of local IP employees


* Replacement of the Head SBH China during periods of absence, incl. internal and external representation of SBH China, HR-management, supervision of SBH activities and responsibility for SBH reporting; consulting of the Head SBH China


* Leading the cooperation with important IP partners (Swiss cantons, regions, knowledge partners, external agencies); cooperation with Chinese, Swiss and international media


* Generation and careful editing of prospects (potential settlement projects), in cooperation with IP team; quality management of IP-activities in China


* Conception and organization of marketing, PR and media activities (e.g. roadshows, events, media projects) for the promotion of Switzerland as a business location for Chinese companies, including presentations in both English and Chinese


*  Responsibility for the IP budget, including planning, controlling and financial reporting to S-GE


*Individual meetings with Chinese companies


* Creation of printing/online material for advertisement purposes


*Coordination of all IP matters with the Swiss Embassy in Beijing and the Swiss Consulates General in Shanghai, Guangzhou and Chengdu

The Royal Danish Embassy is looking for a new Press and Public Diplomacy Officer to join our small but busy PD-team in Beijing.

 
As a Press & Communications Officer, you will play a key role in making Denmark visible in the Chinese Media and branding Denmark in China. You will also support the branding of Denmark in China in Danish media. We expect you to be a positive, open-minded team player with a strong drive and excellent journalistic skills. You know what goes on in the Chinese media landscape and on Chinese Social Media and you have no problem maintaining and building positive working relationships with Chinese media people, journalists, TV stations, KOL’s etc.

Your main tasks:

Produce articles on the Embassy’s activities for external publication.

Organize press conferences and press interview, draft press releases, maintain press relations and other information distribution to media and general public.

Responsible for communication activities related to the Embassy’s website and support in regards to our social media platforms.

Follow media coverage in Chinese media on Danish activities.
 
Work closely with colleagues in different departments to create PD-events and brand Denmark in China.
 
Qualifications and experience:

• Fluency in Chinese and English both in writing and verbal communication 

• A master degree or relevant qualifications in communication or journalism

• Must have at least 5 years of proven working experience in communication

• A structured mind-set and excellent planning and coordination skills

• High sense of flexibility. Ability to handle multiple tasks and work under time pressure

• Proactive in addressing challenges and opportunities within area of responsibility

• Experienced web master

• Expertise in Photoshop, In Design and Adobe premier pro an advantage
